ESR & Workforce Data

ESR holds the NHS workforce record, but almost nothing useful happens until that record reaches rostering, identity and access, payroll, occupational health and training. These articles cover the hand-offs between them: where starters, movers and leavers fail, and the validate-then-route pattern that makes the whole flow dependable.

Common questions

Which systems need data from ESR?
Most commonly the rostering platform, identity and access management, email provisioning, occupational health, and the learning system carrying statutory and mandatory training, with payroll depending on the same record being correct. Each expects different fields in a different shape, which is why per-target transformation matters.
Why do new starters still have no access on day one?
Because onboarding is a chain of manual hand-offs between systems that never agreed to talk. ESR data moves on batch cycles; a first shift does not. A validation gate that rejects an incomplete record days early, to a named human, is what closes the gap.
